Executive Administrative/ Personal Assistant

Part executive assistant, part office manager, part personal assistant. This job share pair will combine their superpowers to make a lasting impact on this fast-growing company.

The ideal partnership will be a combination of:

  1. Executive experience - High level of professionalism and excellent verbal and written communication skills. Understanding the importance of managing a tight calendar and making sure meetings, calls, travel, etc. all go off without a hitch. Feels comfortable with technology and has a basic understanding of IT. Individuals should feel confident thinking on their feet, be resourceful and able to research a variety of topics. Able to manage expectations, know when to ask for help, willing to learn and receive feedback.

  2. Organization and support - Finds joy in helping others perform at their best. Known for your organization skills and systems for keeping the ins and outs of life in order. Have an eye for the smallest details. If you are known for keeping everyone in-the-loop and on schedule, if you love creating and checking off a ‘to-do’ list that includes everything from dog walking to running errands, you should apply!

The Job Share:

Job sharing will allow you to share the responsibilities and hours of this full time 40-hour work week. The hours/day split will be determined depending on the needs of you and your partner. While you and your partner may have complementary skills, you will be expected to act on each others behalf when the other is not present. As a combined team, the job share pair will share the responsibilities of the following roles:

  • Office Manager: Oversee general office operations and daily tasks for maximum efficiency, including greeting guests, managing office calendars, checking mail, coordinating and providing all arrangements for conference calls and meetings. Ordering office and kitchen supplies, and maintaining inventory records. Responsible for maintaining cleanliness in common areas. Recommends and creates changes in office practices or procedures.

  • Executive Assistant: High functioning assistant with the ability to read, research and respond to different levels of correspondence. Seek out business related events and networking events. Help prepare for meetings and accurately recording minutes, action items and follow-up as needed. Ability to perform duties such as financial record keeping and billing, working on special projects. Able to keep highly confidential and sensitive information. Independent judgment is required to plan, prioritize and organize diversified workload.

  • Personal Assistant: The CEO is in need of a responsible personal assistant to provide personalized help with work and home life. A qualified assistant will be expected to exceed expectations in running business and personal errands, managing business/ personal calendar, assisting with taking care of pets during working hours, grocery shopping, running errands, etc. The ideal candidate should be able to take direction when necessary but should also know when to take initiative and be a self-starter.
